Expanded Class Recording Guidelines

Flexible Online Delivery Model

  1. Instructors are responsible for reviewing and following the applicable policies governing class recording. See Policy G4 – Recordings.
  2. Recording synchronous lectures is strongly encouraged to accommodate students who are unable to participate in the sessions for reasons such as time zones, inadequate internet bandwidth, personal responsibilities as caregivers, etc.
  3. Instructors should focus on recording the parts of synchronous classes that feature lecture or video material that will be assessed and that students would be unable to replicate through other course materials. This ensures that students who are unable to attend the live class are not disadvantaged, and provides a useful resource for students who may want to review the material at a later point in time.
  4. Instructors are encouraged to turn on their own cameras during online classes as a best practice to increase their presence for their students and to set a good example.
  5. Instructors may at their discretion ask that students turn on their video and audio for purposes such as attendance, active class participation, oral exams, presentations, etc. Recording these parts of classes that require active student participation, including those listed above, is not required and is generally not advisable. Instructors should be aware the College wishes to minimize the collection of student personal information to the extent possible. Recording students’ participation may have the unintended effect of a) collecting more sensitive personal information of students that is not necessary such as in situations where students do not have a private space at home from which to attend class, and/or b) disadvantaging students who have poor Internet bandwidth. Encouraging students to identify these situations at the beginning of term allows necessary accommodations to be created. See RRC’s Policy G4 – Recordings for further context.
  6. Clearly communicating expectations with students regarding how recordings are going to be used in the course is a best practice in the online learning classroom. Things to include:
    1. The purpose of recording classes.
    2. Alignment between what takes place in recordings and assessments, including attendance and participation.
    3. How long recordings will be available to students (i.e. until the end of the term).
    4. Information about when students might be required to turn on their cameras and whether or not those times will be recorded.
    5. Information about how to request an accommodation related to class recordings.
    6. A reminder that students are not permitted to share the recording or any portion of the recording with any individual who is not a student in that section of the class. Instructors should confirm that sharing class recordings would be considered a very serious issue and is academic misconduct.
    7. Please note that critical information about class events, schedules, assessment or assignment directions, etc. should not be delivered exclusively through recorded lectures. This kind of information should be posted into the course in places like the news tool, the course calendar, or the assignment dropbox as appropriate.
  1. Class recordings should take place only in College supported platforms – WebEx or Microsoft Teams. This helps limit access to only authorized RRC students. Use of any alternative platform must be approved by the Program Chair in consultation with ITS and the CLPE.
  2. Instructors should only distribute recording links or files to students in their LEARN courses. Recordings should not be distributed through any other means. This helps to improve security and data protection, and it simplifies the student experience and ease of access to content.
  3. Students are presented with an online consent form that appears as a pop-up window when logging into HUB the first time in a term. If students are not comfortable being in a class that is recorded, students may decide to not take part by logging off of WebEx or Teams. Instructors will make the recordings available in LEARN after the class.
  4. Recordings that include students’ personal information are considered documents under FIPPA and are subject to retention rules. Recordings that include students should be deleted after three years. These recordings should not be distributed outside of the class that was recorded, including future deliveries. Recordings featuring students should not be downloaded and kept by either the students or instructors. Instructors who wish to record their lectures for permanent use have several options which are detailed in the Recording Lectures page of the Flexible Online Delivery Model .

The following is the text of the agreement that all students are presented with when they login to HUB at the beginning of each term.

Red River College is committed to preserving your right to privacy, the privacy of others, as well as ensuring compliance with all College policy and all applicable legislation.

  1. Instructors at Red River College record their classes so that students can watch and/or listen to them. I understand that the recordings are to help me study and should not be shared with others.
  2. I agree that the College can record my image (face) and my voice for teaching and learning only.
  3. I understand that I can turn off my camera and/or microphone and use the “Chat” to participate in my online class. It is my choice.
  4. I understand that I must talk with my instructor first if I choose not to be recorded.
  5. I understand that the recordings are to help me to study and should not be copied or shared with others without my instructor’s permission.
  6. I understand these recorded lectures are protected by law and cannot be published or quoted without my instructor’s written permission and that if I do get permission, I also need to name the instructor as the creator.
  7. I understand that I must follow these rules. I understand I could be disciplined or asked to leave the school if I do not follow these rules. I understand that I can read about the expectations and rules in the Student Code of Rights and Responsibilities.
