U3 – Timetabling

To maximize the use of space available for instructional purposes at all campuses, there is a central contact for timetabling courses and programs.
Courses will be timetabled through the College Timetabler in the appropriate instructional space.
Instructional space will be timetabled in a way that anticipated student enrolment does not exceed the capacity based on the standards of the National Building Code.
Instructional activity will have priority over non-instructional activity and provincially funded instruction will have priority over other instructional activity.
Full time programming has first priority on instructional space between the hours of 8 a.m. to 6 p.m. Monday to Friday. Part time programming has first priority on instructional space between the hours of 6 p.m. to10 p.m. and between 8 a.m. to 5 p.m. Saturdays and Sundays.
After finalized timetables are available, attention will be given to accommodating requests from Chairs for timetable changes. The quality of student timetables will take priority over instructor requests. The final decision regarding all timetable changes rests with the College Timetabler.
Chairs or their designate will provide all required timetabling information to the College Timetabler by the identified deadline.
The College Timetabler will create a draft timetable for review by the Chair or their designate.
Timetabling conflicts will be addressed at the draft timetabling review.
The College Timetabler will produce a finalized timetable.
The finalized timetable will be published to staff and students through designated channels.
Timetables are subject to change.
Enrolment Services, in conjunction with academic schools, is responsible to maintain complete and accurate curriculum data in the College ERP System.
The College Timetabler is responsible to create and distribute timetables. The final decision regarding all timetable changes rests with the College Timetabler. Additionally, the College Timetabler is responsible to create reports on room utilization and data for program costing.
Chairs are responsible to provide all necessary information by the appropriate deadlines to the College Timetabler.
Design Planning and Construction and Building Systems and Maintenance departments are responsible to maintain complete and accurate room description data in the College ERP System.
