Proof of Vaccination

RRC Polytech staff and students are required to provide verification of vaccination (or approved exemption) status to participate in any on-campus teaching, learning activities, events or work requirements.

For those who are fully immunization against COVID-19, the following step-by-step instructions will guide you through uploading your valid proof of vaccination, to generate your digital RRC Polytech Vaccine Passport.

How to Upload your Proof of Vaccination to the RRC Polytech Mobile Safety App

Step 1

If you haven’t already, download the free RRC Polytech Mobile Safety App to your smartphone or mobile device. Click here to download or search “RRC Polytech Mobile Safety App” in Google Play or the App Store.

For members of the College community who don’t have access to a smartphone, use a browser to upload your proof of vaccination using the web-based app and complete your RRC Polytech Vaccine Passport application. Follow steps 2 to 9 below.

NOTE: For those who use the web-based version of the Mobile Safety App, you will be required to print your approved RRC Polytech Vaccine Passport.

Step 2

To apply for your RRC Polytech Vaccine Passport, open the Mobile Safety App. On the main screen select Vaccine Passport.

Step 3

Select Log In with RRC Polytech Credentials (SSO) and use your College email and password. Once you have logged in, select continue.

NOTE: RRC Polytech staff may be required to verify sign in via the Authenticator on their smartphone or mobile device.

Step 4

For those who are fully vaccinated (having received two doses of an approved vaccine) against COVID-19, select Apply for Vaccine Passport.

Step 5

Select Confirm your partial vaccination here.

Step 6

Confirm your personal details and press next.

Step 7

Input your vaccination details, including a photo of your proof of vaccination, and press submit.

IMPORTANT: Accepted proof of vaccination documents include:

COVID-19 Vaccine Receipt (document that may have been provided at the time of your appointment)
Provincial Immunization Card (front and back of card required)
Digital Provincial Immunization QR Code

If you do not have a Provincial QR code (you received your vaccination in another province or territory), please submit your COVID-19 Immunization Record

Submitted documents must contain your full name and the issuer of the record.

Step 8

After submitting all the required information, you will receive a confirmation message via the Mobile Safety App. You will also receive an email from the College, indicating that your RRC Polytech Vaccine Passport application is in review.

Ensure you submit your Vaccine Passport application prior to when you’ll be arriving on campus to allow for verification.

You will not be able to enter campus until you’ve received confirmation (through the Mobile Safety App or your RRC Polytech email) that your application has been approved and your QR code is green.

Step 9

Once you’ve received confirmation that your application is approved (through the Mobile Safety App or your RRC Polytech email), you’re ready to enter campus for learning, teaching, or work requirements. Please have a valid piece of photo ID ready along with your Vaccine Passport QR code before arriving on campus at a designated entrance.

How to Access your RRC Polytech Vaccine (or Approved Exemption) Passport

To view your Vaccine (or approved exemption) Passport, first ensure you’ve received confirmation through the RRC Polytech Mobile Safety App or your College email that your application has been approved. If you’ve received confirmation, follow the steps below:

Step 1

Open the Mobile Safety App on your smartphone, mobile device or web browser.

Step 2

Select Vaccine Passport.

Step 3

Select View Vaccine Passport to view your verified RRC Polytech Vaccine (or approved exemption) Passport.

For those using the web-based version of the Mobile Safety App, please print out your verified RRC Polytech Vaccine (or approved exemption) Passport QR code in advance of arriving on campus.

NOTE: All RRC Polytech students and staff will be required to present their Vaccine Passport QR code and College ID card when arriving on campus at a designated entrance.

How to Upload your Approved Exemption to the RRC Polytech Mobile Safety App

As of September 20, 2021, all RRC Polytech staff and students who are unvaccinated for medical, religious/creed, or other reasons, are required to provide proof of approved exemption status and participate in asymptomatic rapid testing, for any on campus teaching, learning, or work requirements.

The following step-by-step instructions will guide you through uploading your approved exemption, to generate your digital RRC Polytech Vaccine (approved exemption) Passport.

Step 1

NOTE: For those who use the web-based version of the Mobile Safety App, you will be required to print your verified RRC Polytech Vaccine (approved exemption) Passport.

IMPORTANT: For those who are unvaccinated, you must apply for (and receive) an approved exemption before proceeding to steps 2-8.

To apply for an exemption for the Winter 2022 Academic Term, download the applicable form below, and send a completed version to vaccinerecords@rrc.ca no later than November 30, 2021.

Vaccination exemption forms:

Medical exemption
Religious/creed-based exemption
Other exemption

Once your exemption has been approved, you will receive an email from vaccinerecords@rrc.ca providing you with further direction on rapid testing and other important information.

Step 2

To apply for your RRC Polytech Vaccine (approved exemption) Passport, open the Mobile Safety App. On the main screen select Vaccine Passport.

Step 3

Select Log In with RRC Polytech Credentials (SSO) and use your College email and password. Once you have logged in, select continue.

NOTE: RRC Polytech staff may be required to verify sign in via the Authenticator on their smartphone or mobile device.

Step 4

On the main Vaccine Passport page, select Apply for Exemption.

Step 5

Select Continue Application.

Step 6

Confirm your personal details, answer the required questions, and include proof of a negative COVID-19 rapid test result.

IMPORTANT: As a part of your vaccination exemption, you are required to participate in regular rapid-antigen testing, and provide proof of negative COVID-19 test results.

Once you receive a confirmation email that your exemption has been approved, you will also receive more information outlining the testing schedule and specific requirements.

Step 7

After submitting all the required information and proof of a negative COVID-19 test result, you will receive a confirmation message via the Mobile Safety App. For students and employees at the Notre Dame Campus, you will be testing on-site, and your application will be approved by a member of the Safety and Health Services team.

For those at regional campuses or Stevenson Winnipeg, Southport, or the Roblin Centre, you will receive take-home kits to self-administer rapid-antigen tests. Please plan ahead of when you’ll need to be on campus, and submit your proof of negative test result by 3 p.m. on designated testing days.

Step 8

Once you’ve received confirmation that your application is approved (through the Mobile Safety App or your RRC Polytech email), you’re ready to attend campus for learning activities, teaching, events or work requirements. Please have a valid piece of photo ID ready along with your Vaccine (approved exemption) Passport QR code and enter campus at a designated entrance.

NOTE: Individuals with an approved exemption, must continue to submit up-to-date negative COVID-19 test results on designated testing days, in order to maintain Approved Status on the Mobile Safety App, and attend any on-campus activities.
